ACCOMMODATION
TERMS & CONDITIONS

When you make a booking for accommodation at Te Mata House,
you agree to the terms of these booking conditions.

Please read these Terms and Conditions carefully.

1. DEFINITIONS

1.1 Peak Season – the following periods in each calendar year:
15 December – 31 January.

1.2 The Property – The Pool House, The Cottage, The Wine Bar
The Homestead and the surrounds.

1.3 Us, we, our – Te Mata House Host.

1.4 You – all future, current or past Guests of Te Mata House.

1.5. Extras – Bring Your Horse, and wine for purchase.

2. RATES & INCLUSIONS 

2.1 Rates are quoted in New Zealand dollars ($NZD) and are
GST inclusive.

2.2 Rates are charged on a per-night basis.

2.3 A 15% surcharge will apply to reservations on New Zealand
statutory holidays.

2.4 Rates are subject to confirmation at the time of reservation and subject to all payments being paid upon booking.

2.5 A 3% credit card surcharge will apply to all credit card payments. Direct payment to Te Mata House Limited’s bank account is also available to New Zealand residents. If a bank transfer is preferred and confirmed, payment is required within the following 48 hours, otherwise, the credit card will be charged.

2.6 Extras can be purchased at the time of booking or during your stay. All accounts for Extras must be paid in full prior to departure.

2.7 Check-in is at 2pm and before 6pm, and check-out is at 10am

2.8 Inclusions: the following are included in each guest’s stay

• Use of Te Mata House facilities including gardens, swimming pool, bicycles, garden games and tennis court. The use of the swimming pool and spa are by appointment with owner.

• The Te Mata House breakfast basket is provided on arrival for the duration of your stay. This includes a wide range of self-serve continental and cooked breakfast items. Complimentary Nespresso Coffee, Studio Red Tea and biscuits are also provided. 

Gluten-free bread and alternative milk are available at cost. 

• Wi-Fi, Sky and Netflix

• Use of the stables’ kitchen, tack room, yards and arena if choosing the extra option of bringing a horse

2.9 The Cottage is suitable for four people. A single roll-away bed is available for an extra guest for $125 + GST per night

2.10 Electric vehicle charge is NZD$50 plus GST over a maximum of 3 days stay. If longer, additional charges apply

3. RESERVATION & CANCELLATION POLICY 

3.1 Minimum night stay: There is a two-night minimum stay for The Cottage.

3.2 Booking confirmation: to secure a booking in The Cottage at Te Mata House we must receive full payment at the time of booking

3.3 Cancellation:

3.3 Cancellation: 

3.3.1 The following applies to the cancellation:

• If a reservation is cancelled within 30 days before arrival, the guest will be charged the total price of the reservation
• If a reservation is cancelled between 60 and 30 days before arrival, the guest will be charged 25% of the total price of the reservation
• If a reservation is cancelled between 90 and 60 days before arrival, the guest will be refunded but a $250 + GST booking fee will be retained
• The guest can cancel free of charge until 90 days before arrival

A reservation cannot be transferred to another guest or another period

3.3.2   There is no refund if guests vacate the Property early

3.3.3 In case of a refund, credit card surcharges are not refundable

3.3.4 COVID-19  

If guests need to cancel due to COVID-19 and are within the cancellation policy dates, we will make an exception and hold the payment in credit for 12 months to be applied toward a future stay. Funds will be non-refundable. New dates will be subject to availability and seasonal rate changes

4. CANCELLATION BY US

4.1 If you do not pay the full amount at booking, your reservation will not be confirmed, and we will be entitled to terminate the booking and retain any amounts paid to us

5. FORCE MAJEURE

5.1 Neither host nor guest will be liable for any delay or failure in the reservation if it is caused by an event beyond its reasonable control (for example natural disasters), provided that the Host or Guest gives written notice of fact and circumstance. Their booking credit can be held for 12 months and applied toward a future stay. Refunds are not available and travel insurance claims are recommended

6. HOUSEKEEPING

6.1 Bookings of five nights or more receive a linen change during your stay

6.2. The Cottage will be serviced daily around 11am during your stay

6.3 A standard exit clean is included in your booking; however, you are expected to leave the property in a satisfactory state. Cleaning charges will be applied if necessary

7. SMOKING AND DRUGS

7.1 Smoking and vaping are prohibited inside the Cottage, Wine Bar and Pool House. Please smoke outside, keeping doors and windows closed so smoke doesn’t enter the Property. Dispose of cigarette butts appropriately

7.2 If tobacco odour is noted on departure inspection, the guest is liable for any additional professional cleaning, de-fumigation and painting costs if required

7.3. The use of illegal substances or conduct of illegal activities at the property is strictly prohibited and will be reported to the police and result in eviction

8. PETS 

8.1 No pets are allowed on the Property except horses kept in the Stables & Arena complex

9. LOST PROPERTY

9.1 Return of lost property can be arranged at NZ$20 + the cost of postage

10. USE OF THE PROPERTY & ON-SITE ACTIVITIES

10.1 The Homestead at Te Mata House is a private residence. Please be mindful of other guests and property owners during your stay. Quiet hours are to be observed between 10pm and 7am

10.2   Use of extra facilities at the property, including, but not limited to, sporting equipment, bicycles, arena, treehouse, spas and swimming pools is entirely at your own risk

10.3   Public access to Te Mata House is prohibited at all times and our permission is required for guests’ visitors to access the Property. If permission is not requested or given, guests will be asked to leave the Property immediately and there will be no refund for the remainder stay

10.4   We respect our guest’s privacy during their stay, however, if the host requires, they can inspect the property at any time with a minimum of two hours’ notice. Such notice may be provided by phone message

10.5   When staying at Te Mata House, the use of the Property for a function, party, or any other form of event is strictly prohibited, unless arranged prior

10.6.   Parking spaces are allocated for The Cottage. Parking is not permitted on driveways, gardens or in the Homestead’s private parking area

11. YOUR RESPONSIBILITIES

11.1 You may not accommodate more than the maximum number of occupants as stated when booking

11.2 You are responsible for the cost of repairing any damaged or missing furniture, fixtures and fittings on the Property

11.3 You must take reasonable care of your own health and safety and must make sure that you behave in a safe manner at all times. You agree to observe any health and safety notices on the Property at all times and must ensure that your acts do not endanger the health and safety of any other person

12. DEPARTURE

12.1 You shall vacate the property no later than the required departure time. Departure time is 10am, unless agreed to prior

12.2   Late check-out is subject to availability at a cost equivalent to 50% of one night’s accommodation rate

12.3   If Extras have been purchased during your stay, accounts must be settled in full prior to departure

13. INSURANCE/LIABILITY

13.1 Your personal effects are not insured by us. You are responsible for all personal items you bring to the Property and for any loss or damage to such items

13.2   All facilities and any activities you participate in will be at your own risk. We do not accept any responsibility for injury or loss suffered

13.3   Children under the age of 10 must be supervised at all times by a parent or responsible adult

14. DISPUTES

14.1 If a dispute arises between you and us, we will use our reasonable endeavours to obtain a resolution of the dispute by discussion between all concerned parties. If that process does not result in a resolution of the dispute, then the dispute may be referred by any of the parties to the New Zealand Disputes Tribunal. A dispute does not excuse any party from performing its obligations under these Terms and Conditions

We respect your privacy. Any information collected will not be viewed or sold to anyone and will be used only by Te Mata House to manage your experience as a guest of Te Mata House.
